Kanawa Island Corporate Retreat Day

A private full-day company outing that leaves Labuan Bajo in the morning and is back before sunset — one chartered boat, a structured programme, and a single company invoice. Your HR or ops team runs it through one contact.

A programme, not a boat booking

A standard group charter is essentially private boat hire priced by passenger tier. This is different: your company books an outcome — a team day with a run sheet — and every element is adjustable. Some companies replace the games block with a facilitated workshop on the beach; others compress the whole thing into a half day for conference groups on a tight agenda.

  1. One run sheet

A timed programme your organiser can circulate before the day, not a rough plan agreed at the jetty.

  2. One invoice

Company invoicing by bank transfer, a written deposit-and-balance schedule, and a receipt for your finance records.

  3. Manifest handled

A simple spreadsheet for names and dietary notes; the desk takes the harbour paperwork from there.

  4. Contingency in writing

Reschedule terms agreed before you pay, because sea conditions occasionally move a departure.

Capacity per boat tier

Capacity is the first decision, because the vessel determines comfort, timing and budget. These are comfortable corporate capacities, not maximum licensed capacities.

Speedboat

6 – 12

Engines
Twin outboard
Cruising
Fastest crossing
Best for
Leadership teams and small departments

Day boat, open deck

10 – 20

Engines
Inboard diesel
Cruising
Moderate
Best for
Shaded deck space for briefings and meals aboard

Phinisi day charter

20 – 40

Engines
Inboard diesel
Cruising
Slowest, roomiest
Best for
Full-company retreats; saloon and deck double as meeting and dining space

Above forty people the day runs as a multi-vessel convoy — usually one phinisi as flagship plus one or two speedboats as shuttles, radio-coordinated so the whole company lands and departs together.

The standard run sheet

The default shape of a full retreat day. Every block is adjustable.

  1. 07:30–08:00 Hotel or office pickup in Labuan Bajo, group check-in at the harbour with a printed manifest.
  2. 08:00–09:15 Crossing to Kanawa, with a welcome briefing, safety orientation and an optional icebreaker on deck.
  3. 09:15–12:00 Morning block — guided snorkel clinic on the house reef, then rotational team activities on the beach.
  4. 12:00–13:30 Catered lunch under shade, with room for informal networking or a short leadership session.
  5. 13:30–15:30 Afternoon block — island games, free swim, or an optional hop to a nearby sandbar.
  6. 15:30–17:00 Return crossing with a wrap-up or awards moment, arriving in Labuan Bajo before dusk.

The activity menu

Designed so non-swimmers, senior staff and adventurous juniors all have a role.

Snorkel clinic

Tight crew ratios

A guided session on the house reef, starting with mask-and-fin coaching in waist-deep water. First-timers are never left behind; confident swimmers extend to the reef slope.

Island games

Scored by team

Beach relay circuits, tug-of-war, sandcastle engineering, treasure-hunt formats — run by field crew and scored for a closing awards moment.

Structured downtime

Deliberate

Unprogrammed blocks — hammocks, beach walks, photo sessions. HR teams consistently say these matter as much as the activities.

Optional add-ons

Arranged ahead

A sandbar stop borrowed from the island-hopping route, or a certified fun-dive session for licensed divers in the group.

Catering is arranged in Labuan Bajo and served on board or at a shaded beach setup: an Indonesian buffet as standard, an expanded seafood and salad spread for client-facing groups. Vegetarian, no-pork and allergy-specific plates are prepared separately when declared on the manifest at least 48 hours ahead. Alcohol is not included by default and is served only on the return leg, at the organiser’s written request.

Indicative pricing, 2026

By boat tier, for a full programme day.

Quoted per booking. Indicative only, not fixed quotes. Final pricing depends on headcount, vessel availability, season, programme selections and fuel conditions at the time of booking. National park and harbour fees are quoted per the published tariffs current on the date of your written quotation.

How to commission the day

  1. Send three details

Headcount, preferred date, and whether you want the standard or workshop-style format.

  2. Receive a proposal

Vessel recommendation, run sheet and written quotation, valid for a stated period so you can get internal approval.

  3. Confirm and invoice

One invoice, one payer, with a deposit-and-balance schedule agreed in writing.

  4. Send the manifest

Names and dietary notes at least 48 hours out; the desk handles the harbour paperwork.

  5. Run the day

Your coordinator manages boarding, timing, meals and the return.

Questions from HR and ops

The four that come up in every internal approval.

How far in advance should we book?

Two to four weeks is comfortable for groups under twenty; six weeks or more for phinisi-tier or multi-vessel retreats, especially in the July–August and December peak windows.

Can the retreat include Padar or the Komodo dragons?

Yes, but it changes the format. Adding Padar or a ranger-guided dragon trek extends sailing time and shrinks the team-programme block, so it is usually only worth it for groups prioritising the sights over the programme.

Do non-swimmers have to snorkel?

No. The programme is rotational, so non-swimmers can join beach games, stay with the shaded catering setup, or use flotation-assisted shallow-water sessions with a dedicated crew member.

Can we get a formal invoice for reimbursement?

Yes. A written quotation, a company invoice and a payment receipt are standard for every corporate booking, issued before and after payment.
