What a group charter actually buys

A group charter is built around your headcount, budget and agenda rather than a fixed seat-in-coach product. If you are planning for two to eight guests instead, the standard Kanawa day trip is usually the simpler and cheaper route.

  1. Fleet matching

    Speedboats carry 6–15 each; day-configured phinisi and larger wooden boats suit 20–40 per vessel. Bigger groups split across a coordinated convoy.

  2. One coordinator

    A single contact manages captains, crew, catering and timing, so your organiser is not juggling vendors on the day.

  3. A programme on water

    Guided snorkelling on the house reef, beach time, and optional stops. Many groups extend toward Padar, Pink Beach and Manta Point.

  4. Catering and safety

    Boxed or buffet lunch, water, fruit, coffee and tea as standard. Life jackets for all guests, first-aid kits aboard, manifests prepared beforehand.

Above forty people the day runs as a multi-boat convoy — typically one phinisi as flagship plus one or two speedboats as shuttles, with a lead boat setting route and schedule, staggered boarding so nobody queues on the jetty, and every guest assigned to a named vessel on the manifest.

How a group booking runs

  1. Brief

    Date, headcount and rough agenda to WhatsApp or email.

  2. Fleet plan and quote

    A proposed vessel mix, itinerary and itemised quotation — usually within one working day.

  3. Confirmation

    A deposit secures the fleet; the balance schedule is agreed in writing. Invoices are issued formally and can be addressed to your company.

  4. Event day

    Your coordinator manages boarding, timing, meals and the return, on one WhatsApp thread throughout.

How large a group can you handle in one day?

Ten to forty typically fits on one or two vessels; forty to a hundred and beyond runs as a coordinated convoy. Very large events may be split across two days or staggered departures — tell the desk your full headcount early so the fleet plan is realistic.

Can we get one invoice for the whole event?

Yes. Boats, crew, catering, park fees and add-ons can be consolidated into a single quotation and invoice addressed to your company, with a deposit-and-balance schedule agreed before the event.

Is Kanawa suitable for mixed groups with non-swimmers?

Yes. The beach and shallow entry suit guests who prefer to stay dry or wade, life jackets are provided for everyone, and guided snorkelling is optional. The viewpoint walk and beach programme give non-swimmers a full day without deep water.

How far ahead should a corporate group book?

Three to six weeks is comfortable in most months for multi-boat days. July, August and the year-end peak need earlier, because vessel availability in Labuan Bajo tightens. Smaller single-boat groups can often be arranged on shorter notice.
